What Equipment Should a Small Business Put on a UPS?

A small business generally should connect equipment to a UPS when losing power to that device immediately would interrupt an important business process, network service or safe shutdown. The goal is not to place every electronic device on battery backup. It is to protect the equipment that actually benefits from uninterrupted power.

Research basis: This guide uses general UPS, electrical-load and business-continuity principles. Actual requirements vary by equipment, UPS model, electrical characteristics and operating environment. Always verify the equipment manufacturer's and UPS manufacturer's current requirements before connecting a device.

The short answer

For many small businesses, the best UPS candidates are core network equipment, critical servers or storage systems, and selected computers that must remain available long enough to ride through a short interruption or shut down safely.

Equipment that does not need uninterrupted power should generally not consume limited UPS capacity merely because a battery-backed outlet is available.

Start with the business function, not the device

Before deciding what to connect, ask what must continue operating when utility power disappears.

A device is a stronger candidate for UPS protection when an unexpected shutdown could interrupt connectivity, stop a critical application, risk unsaved work, interfere with an orderly system shutdown or disrupt an important business process.

This means two businesses with similar equipment may make different UPS decisions. A desktop computer used occasionally may not require battery backup, while a workstation controlling an essential operational process may.

Protect the complete network path

Putting only the Wi-Fi access point or router on a UPS does not necessarily preserve Internet access.

The complete local path may include an ISP-provided ONT or modem, firewall/router, network switch and wireless access equipment. If one required component loses power, users may still lose connectivity even though another component remains online.

For businesses using Power over Ethernet, the network switch deserves particular attention. A PoE switch may supply power to access points, phones, cameras or other network devices, which means those downstream devices also contribute to the switch's UPS load.

Should a server or NAS be on a UPS?

Servers and network-attached storage are common candidates for UPS protection because abrupt power loss can immediately interrupt services and prevent a normal shutdown process.

The UPS does not necessarily need to keep the server operating through an extended outage. In some environments, its primary role is to bridge a brief interruption or provide enough battery time for shutdown software or an administrator to stop systems cleanly.

Server and storage loads can also consume substantially more power than basic networking equipment, so their inclusion can materially reduce available runtime.

Should desktop computers be connected to a UPS?

Not every desktop computer automatically needs battery backup.

A workstation becomes a stronger UPS candidate when an abrupt shutdown would interrupt important work, create operational problems or prevent the user from saving data and shutting down normally.

If the goal is simply to provide enough time for an orderly shutdown, the required runtime may be relatively short. If the workstation must remain productive during an outage, the business must plan for a larger protected load and potentially substantially greater battery capacity.

Monitors also consume power. A desktop may technically remain running while becoming difficult to use if its required display is connected only to a surge-only outlet.

What about VoIP phones and communications equipment?

A VoIP phone may receive power directly from an AC adapter or through a PoE network switch. In either case, protecting only the phone is not enough if the switch, router or other required network equipment loses power.

Businesses that consider voice communications critical should identify the entire local dependency chain and determine which components require battery support.

What equipment should generally stay off a conventional office UPS?

A UPS should not be treated as a general-purpose battery outlet for every device in the office.

Specialized, medical, industrial, life-safety or other unusual equipment should be evaluated according to its specific electrical, regulatory and manufacturer requirements rather than being treated as an ordinary office UPS load.

Battery-backed outlets vs. surge-only outlets

Some UPS models provide both battery-backed outlets and outlets that provide surge protection without battery support.

That distinction matters. A device connected to a surge-only outlet may receive protection from certain electrical disturbances but will still turn off when utility power disappears.

Use the battery-backed outlets for equipment that genuinely requires continuity. Lower-priority peripherals may be better suited to surge-only protection when the UPS manufacturer permits it.

Actual device consumption varies. Use measured or manufacturer-provided power information for the equipment being protected rather than treating these example values as universal specifications.

Do not confuse critical equipment with every useful device

During normal operation, many devices are useful. During an outage, however, every additional battery-backed load reduces the energy available to the highest-priority equipment.

The business should therefore rank equipment according to continuity importance instead of attempting to reproduce normal office operation from a conventional UPS.

For example, keeping the firewall, switch and communications path operating may provide more business value than using the same battery capacity to support several noncritical monitors or peripherals.

Choose the equipment before sizing the UPS

UPS selection should follow the protected-equipment decision, not precede it.

After identifying the devices that require uninterrupted power, determine their expected operating wattage and confirm that the candidate UPS supports the combined watt and VA requirements with practical headroom.
